Errors

When you upload the csv file, the system will automatically scan it to check that the required cells have information and that the cells are formatted correctly. If the file fails this initial scan, it will generate a modal (see image below) that includes the cell number, error type, and how to correct the error. Click “Copy to clipboard” to copy the errors and paste them into a different application that you can reference while correcting the cells in the csv file.

Error Types

The list below shows the different error types that the system checks for and what may have caused them. 

Error Type Potential Cause
Bulk upload job already exists This csv file was already uploaded into the system and cannot be re-uploaded.
File size exceeds limit The csv file exceeds the 1MB limit. You should break the file into multiple files and reupload them. Contact the Help Desk at support@osf.io if you have any questions.
Incorrect format for contributors One of the contributors list does not match the system’s formatting requirements. Section Admin, Read-Write, and Read-Only explains how contributors must be formatted. Contact the help desk at contact@osf.io if this is not the issue.
Invalid category name
One of the categories does not match our system. It’s likely that the category is either spelled incorrectly or is not an option in our system.  Section Category includes a list of all categories currently accepted by the system.
Invalid Column ID
The Column ID does not match with the one that is used by the registration template. It is likely the ID was manually edited after the csv file was downloaded or the registration template ID is outdated. Contact the help desk at contact@osf.io to receive a new csv file.
Invalid file type
Only csv files can be uploaded in the system. Convert the file into the csv format and reupload the document. 
Invalid Institution name
An affiliated institution name does not match our system. Check that the institution’s name is spelled correctly. Click here to view a list of currently active affiliated institutions.
Invalid license name
A license does not match our system. It’s likely the license is either spelled incorrectly, is not an option in our system, or formatted incorrectly. Click here to view a list of available licenses. Section License explains how licenses need to be formatted.
Invalid Project ID
A Project GUID does not exist in our database. It’s likely that the project ID was misspelled or formatted incorrectly (ex. Capital letters). Registrations that do not have a project should have a blank cell.
Invalid response
One of the responses is not acceptable by the system. It’s likely that this is due to misspelling or having multiple answers for a single response question. Section Questions explains how both single and multiple response questions need to be formatted.
Invalid schema ID
The schema ID does not match with the registration template that is currently in our system. It’s likely the ID was manually edited after it was downloaded or the registration template is outdated. 
Invalid subject name
This subject does not match our system. It’s likely it is spelled incorrectly, formatted incorrectly, or does not match what is available in the bepress taxonomy that is used by our system. Section Subjects explains how subjects should be formatted

Rejected Registrations

The system will notify you via email when one or more registrations couldn’t be created from a csv file. These registrations will be included in a csv file that is attached to the email. Review these rows and try to upload the file again. If the problem persists, contact the Help Desk at support@osf.io
